Volume is the whole problem

What a reusable incorporation request looks like

One published template, versioned

You compose the template from sections and fields, then publish a version. Changes are drafted against a new version with a change summary and full history, so adjusting the intake form does not disturb orders already in flight.

When you do publish a change, existing requests keep working. You are not maintaining a folder of near-identical Word documents that drift apart.

Directors, shareholders and PSCs as repeatable groups

Each role becomes its own repeatable section with the exact fields you need to capture — full name, date of birth, service address, nationality, nature of control, shareholding, and so on. The customer adds one entry per person.

Because the roles are separate sections rather than one free-text question, they cannot be conflated. A person who is both a director and a PSC is entered in both places, which is what the filing actually requires.

Field groups nest, so a shareholder entry can carry its own repeatable rows for share classes or allotments.

Structured fields instead of free text

SIC codes belong in a select field, not a text box. Select options carry a separate label and value, so the customer picks a readable description while the stored answer is the code you actually need downstream.

Dates are date fields, yes/no questions are boolean fields, and conditional visibility hides blocks that do not apply — so a single-director company with one shareholder sees a short form.

The cumulative effect is that the data comes out ready to use rather than ready to interpret.

Handing off without touching it

One boundary worth stating plainly: ClientGather collects and organises the information. It does not file anything with Companies House, and it is not an electronic signature service — it does not certify, witness or notarise any document.

Identity documents, handled properly

Formation work means holding identity evidence for a large number of people. Uploaded files and sensitive answers are encrypted at rest, and every upload is scanned for malware on our own infrastructure before it is stored — files are never sent to an outside scanning service, and anything that fails is refused at upload.

Your requests, answers and uploaded files are stored in the United Kingdom — account data on our own servers in Erith, uploaded files in Bunny.net's London storage region, encrypted with our own key before they leave our servers. Nothing is replicated outside the UK.

Internally, four roles control access, two-factor authentication can be required organisation-wide, and the audit log records access and changes. A consent statement can be attached to the template so the customer's acceptance is captured with the submission itself.

An agent processing several hundred incorporations a month

The situation: a high-volume formation agent with a web order form that captures the basics, followed by an email exchange for anything the form did not cover — usually PSC detail, identity evidence and the occasional shareholding structure.

What it costs

Pricing is based on how much you have in flight at once, not how much you send. An active request is one that is out with a client — sent or in progress. Drafts do not count, and closing a completed order frees its slot again.
